Clean up disk errors

Run once a week

Whenever a program crashes or you experience a power outage, your computer may create errors on its hard disk (sometimes referred to as a hard drive). Over time, the errors can result in a slow PC. Fortunately, the Windows operating system includes several PC tools, including a Check Disk program, to identify and clean any errors on your computer and to help keep it running smoothly.
Note: You must be logged on as an administrator to perform these steps. If you aren't logged on as an administrator, you can only change settings that apply to your user account.

Run Check Disk:

Windows 7 and Windows Vista users


1.           Click the Start button Start icon, and then click Computer.
2.          Right-click the hard disk drive that you want to check, and then clickProperties.
3.          Click the Tools tab, and then, under Error-checking, click Check now.
o                             To automatically repair problems with files and folders that the scan detects, select Automatically fix file system errors. Otherwise, the disk check will simply report problems but not fix them.
o                             To perform a thorough disk check, select Scan for and attempt recovery of bad sectors. This scan attempts to find and repair physical errors on the hard disk itself, and it can take much longer to complete.
o                             To check for both file errors and physical errors, select bothAutomatically fix file system errors and Scan for and attempt recovery of bad sectors.
4.          Click Start.
Depending upon the size of your hard disk, this may take several minutes. For best results, don't use your computer for any other tasks while it's checking for errors.
Note: If you select Automatically fix file system errors for a disk that is in use, you'll be prompted to reschedule the disk check for the next time you restart your computer.

Windows XP users



Remove temporary files

Run once a week

Your computer can pick up and store temporary files when you're looking at webpages and even when you're working on files in programs, such as Microsoft Word. Over time, these files slow your computer's performance. You can use the Windows Disk Cleanup tool to rid your computer of these unneeded files and to help your PC run faster.

Optimize your data

As you add programs and files to your computer, it often breaks files side by side to increase the speed of access and retrieval. However, as files are updated, your computer saves these updates on the largest space available on the hard drive, often found far away from the other adjacent sectors of the file.
The result is a fragmented file. Fragmented files cause slower performance because your computer must now search for all of the file's parts. In other words, your computer knows where all the pieces are, but putting them back together in the correct order—when you need them—can slow your computer down.
Windows includes a Disk Defragmenter program to piece all your files back together again and to make them available to open more quickly.
Note: Windows 7 and Windows Vista are preconfigured to run Disk Defragmenter on a weekly basis. If you would like to run the tool manually or to adjust the schedule, click the section for your specific operating system.

COMPUTER DEVICES DRIVERS

Device drivers are small pieces of software that provide the operating system with easier access to the hardware. Drivers are installed for every device on the computer. Some devices such as disk drives, the processor and the chipset on the motherboard are shipped with the operating system (the operating system wouldn't be able to get up and running without them). Other drivers must be installed after installing a new device. The manufacturer of the device will provide drivers if the operating system does not support the device. Drivers for any given device will differ by operating system and version. This means that a video card manufacturer may not make a driver for the particular operating system you are using. This is especially the case when you have an old operating system and a brand new piece of hardware. Drivers are free, come with the hardware and usually can be downloaded from the manufacturer's website as well. If your game crashes whenever it switches in and out of the game, you probably need to update your video drivers. If your computer's sound goes berzerk and then it crashes, you might need to update the sound drivers.
Driver problems are more likely to be an issue on Windows based computers instead of MacIntosh computers. This is NOT because Windows computers are 'more complicated', it's because there are more CHOICES with Windows computers. There are many times more devices available to be installed on Windows-compatible computers. Microsoft also assumes you are smart enough to handle drivers yourself.This is one of the fundamental differences between Microsoft and Apple: Microsoft assumes you are smart, Apple assumes you are stupid.

The processes surrounding the management of drivers on Windows-based computersis becoming more standardized with each release of Windows. Thus, the drivers install the same way, regardless of where they come from.

·                       Apple Hardware - Mostly, these will either be included or downloaded from Apple when you install the hardware.
·                       NON-Apple Hardware - You will probably have to install drivers yourself, but the system will likely prompt you to install them and the installers from most vendors are usually user-friendly. Apple OS X does a much better job of this than previous MacOS versions did.

Apple MacIntosh Computers (Prior to OS X)

·                       The Apple Lie: All the drivers you will ever need come with Mac OS version <whatever>
·                       The Reality: Apple used a closed, proprietary architecture for thier computers. Your ONLY resource for hardware was usually Apple, so drivers could only come from Apple.
·                       Installing Drivers on Apple computers - Sorry folks, we can't build a file on this. The driver installation is completely custom to each individual piece of hardware. Why? Because Apple doesn't provide a standard inteface for installing drivers.Remember, Apple assumes you aren't smart enough to install them yourself and need to fork over a fortune to have a professional install them for you.

WHAT IS COMPUTER VIRUS?

A computer virus is an executable program. Depend on the nature of a virus, it may cause damage of your hard disk contents, and/or interfere normal operation of your computer.

By definition, a virus program is able to replicate itself. This means that the virus multiplies on a computer by making copies of itself. This replication is intentional; it is part of the virus program. In most cases, if a file that contains virus is executed or copied onto another computer, then that computer will also be "infected" by the same virus.

A virus can be introduced to a computer system along with any software program. For Internet users, this threat can come from downloading files through FTP (file transfer protocol), or referencing email attachments. (Please refer to our web page on Handling Email's File Attachments for details.)

When a virus is introduced to a computer system, it can attach itself to, or sometimes even replace, an existing program. Thus, when the user runs the program in question, the virus is also executed. This usually happens without the user being aware of it.

A virus program contains instructions to initiate some sort of "event" that affects the infected computer. Each virus has an unique event associated with it. These events and their effects can range from harmless to devastating. For examples:
  • An annoying message appearing on the computer screen.
  • Reduced memory or disk space.
  • Modification of data.
  • Files overwritten or damaged.
  • Hard drive erased.

Green Computing Tips for Printers

When sourcing printers for your organisation try to be consistent. If you have ten different black and white laser printers that are all different makes and models, then not only will it prove more difficult to fix technical problems, you will be unable to reuse parts from your broken printers. However, if you have 10 laser printers all of the same make and model, when one becomes damaged, you can cannibalise the parts and use them as spares for your printers rather than having to dispose of the printer completely. If you outsource your technical support this could also reduce the number of points-of-contact necessary.

Green Computing Tips for Recycled Toner

In our experience recycled toner is anything but environmentally friendly or cheap. Looking at a face value price comparison between new toner cartridges and recycled toner cartridges, it may seem like you have got a good deal and a reasonable cost-saving. However, much recycled toner is highly prone to leakage, which means that you will need to replace your toner much more regularly, and that lots of paper will be wasted when the toner leaks. It will also probably cost you more in technical support, repeatedly having to have your laser printers cleaned out, and it will also cost you more money in replacement parts as recycled toner tends to be abrasive and to cause damage to laser printer fuser units.

Recent research conducted by the University of Queensland has also suggested that toner particles are highly carcinogenic and cause cancer. If your toner leaks more of it will be in the air and it is reasonable to assume that the risk is increased. See, for instance, this BBC report on the association between laser printers and cancer:

Replace your RAM
Before consigning older spec machines to obsolescence, try upgrading the RAM. When older computers are performing slowly it is often only the RAM that needs upgrading. You can also try removing applications that are taking up uneccessary amounts of memory, or prevent them from starting up on boot by using msconfig:

Start > Run > type “msconfig” > enter

Now go to the Startup tab and disable anything that you don't need

Switch off your Computers Overnight
Save on your energy bills and reduce your carbon footprint: Don't leave computers on standby, switch them off when you are not using them, overnight at weekends and during long breaks. You should also consider making it company policy to switch off monitors and leave computers on standby or in hibernation when end-users are away from their desks for a long time during the day. Boot times these days are often fast enough to justify this and to make a big energy saving here. You should also think about making someone responsible for switching off printers overnight.
